IDENTRAC INC. (hereinafter "Identrac" or "we") believes that the protection of personal information is of the utmost importance. For this reason, we implemented this Privacy Policy (hereinafter called the "Policy") with the objective of protecting your integrity and your right to decide whether or not to disclose your personal information.

This Policy demonstrates how Identrac collects, uses, discloses, processes and protects your personal information. By using our website (www.identrac.ca) (hereinafter the "Website") or by doing business with us, you accept that we might collect, use, process, disclose and store your personal information in accordance with the terms and conditions described hereinafter. If you refuse to be bound by this Policy and to respect it, you are not authorized to visit, access or use our Website, and you cannot share your personal information with us nor use Identrac's services.

Our practices with respect to your personal information are in compliance with the following laws:
  • The Personal Information Protection and Electronic Documents Act (S.C. 2000, c. 5) (PIPEDA – federal law)
  • The Act respecting the protection of personal information in the private sector (Law 25 – provincial law)

All personal information is collected fairly, in a non-intrusive way and with your consent. The personal information collected is only accessible on a need-to-know basis so it can be used for the purposes it was collected for. Identrac is committed to respecting the personal privacy of its clients, employees, applicants, and every visitor of its Website who voluntarily choose to share their personal information. We are aware of how important it is to ensure the protection and an adequate management of the personal information you share with us. This Policy will serve as a guide to understand what kind of data we collect, how it will be used and with whom it might be disclosed to.

This Policy explains the practices of Identrac regarding the user information collected through its Website.

1. IDENTRAC'S COVENANT: TO COMPLY WITH THE TEN PRIVACY PRINCIPLES

In Canada, "Fair Information Practices" regarding personal information are included in a list of 10 privacy principles developed by the Canadian Standards Association, and incorporated into Canadian federal privacy legislation PIPEDA. Identrac conforms to the following 10 privacy principles:

Principle 1 – Responsibility

Identrac is responsible for the personal information entrusted to it, and a privacy officer "PO" was appointed to ensure and vouch for Identrac's compliance with this Policy and with applicable laws.

Principle 2 – Establishing the objectives of the personal information collection

Identrac must establish, before or at the time of the collection, to what ends personal information is collected. Some of the objectives for which personal information is collected, used and/or disclosed are described in this Policy. In the event that we would like to collect, use and/or disclose personal information for different purposes than the ones contained in this Policy, Identrac commits to obtain your consent first.

Principle 3 – Consent

Identrac commits to obtain your informed consent for the collection, the use or the disclosure of your personal information, with the exception of cases authorized by law.

Principle 4 – Limiting collection

Considering the nature and the quantity of information, Identrac will limit the collection of personal information to what is necessary to meet the objectives identified by Identrac. Identrac will collect your personal information fairly and with respect to the laws and will not do so in a deceitful manner or by misleading you about the purpose of collecting your personal information.

Principle 5 – Limiting use, disclosure, and retention

Unless your consent was obtained beforehand or it is authorized or required by law, Identrac will not use nor disclose your personal information for any other purposes than the ones identified for which it was collected. Identrac will only retain your personal information for the necessary duration to serve the purposes for which your personal information was collected.

Furthermore, our retention periods can be modified in due course on grounds of legitimate interest (for instance, to guarantee the safety of the personal information, to prevent abuse and violations or to sue criminals).

Rest assured that whenever the purpose for the collected information has been served, we will proceed with the destruction or the anonymization of said information, in compliance with the law.

Principle 6 – Accuracy

Identrac will try to ensure that your personal information is exact, complete, up to date and necessary to serve the purposes we collected it for.

Principle 7 – Safety measures

Identrac will protect your personal information by using the appropriate safety measures for the level of sensitivity of said information.

Principle 8 – Transparency

Identrac will make readily available all information concerning our policies and our practices pertaining to personal information management.

Principle 9 – Access to personal information

Identrac commits, upon a written request to our PO, to reveal to you the existence, the use and the disclosure of your personal information and to give you access to this information, subject to certain exceptions. An individual must be able to challenge the accuracy and the completeness of the information we have in our possession, and they must have the possibility to have this information corrected if needed.

Principle 10 – Challenging compliance

You are within your right to file a complaint addressed to our PO regarding our compliance with this Policy.


2. CONSENT

2.1 This Policy applies to all information collected by and in the name of Identrac, whether they were collected in written form, verbally, through digital means or through any website exploited by or in the name of Identrac. By browsing on the Website or doing business with Identrac, you consent to the collection and use of your personal information in accordance with the purposes described in this Policy.

2.2 BY SUBMITTING PERSONAL INFORMATION TO IDENTRAC AND/OR BY BROWSING AND USING THE WEBSITE, YOU CONSENT TO IDENTRAC COLLECTING, USING AND DISCLOSING SUCH PERSONAL INFORMATION IN COMPLIANCE WITH THIS POLICY AND UNDER THE TERMS AND CONDITIONS ALLOWED OR REQUIRED BY LAW.


3. CONSENT TO THE SHARING AND DISCLOSURE OF PERSONAL INFORMATION

On top of consenting to the terms and conditions of this Policy, including any relevant additional policies, you consent to Identrac disclosing the personal information you gave us in compliance with the terms and conditions of this Policy.


4. NATURE OF THE COLLECTED INFORMATION

4.1 "Personal information" refers to any information pertaining to the personal or material situation of an individual who has been identified or is identifiable. An identifiable person is a person who can be identified, directly or indirectly, by reference to one or several specific elements proper to their physical, physiological, psychological, economical, cultural or social identity.

4.2 The notion of personal information includes, without being limited to: the name and surname, the personal address, the phone number, the cellphone number, the email address, information regarding a person's employment (such as it figures on a curriculum vitae), and information obtained from a background check or from references from previous employers.

4.3 "Non-personal information" refers to any information in the public domain. Information of a professional nature are considered non-personal information and consequently are not subject to a special protection and can be shared regularly with people in-house as well as people external to Identrac. Information of a professional nature includes, without being limited to: the business name, the address, the email address and the business phone number, and such information is not considered personal information in some jurisdictions.

4.4 "Sensitive personal information" refers to Personal information that, by its nature or due to the context of its use or its disclosure, demands a high level of reasonable expectation with respect to privacy.

4.5 As part of our activities, we may collect, process and use different types of personal information that you provided us with only if it is authorized by law, including the following information:
  • Information used to subscribe to our newsletter, such as your name and surname, your email address, and your phone number;
  • Information used to register to our events, such as your name and surname, your email address, and your job title;
  • Information used to submit a spontaneous job application to Identrac, such as your name and surname, your email address, your phone number, your university, your interests, your eligibility to complete the internship, your CV and your presentation letter; and
  • Information you voluntarily submit to us when using the section "Contact us", such as your name and surname, your email address, your phone number, the object of your query and any other information.


4.6 As part of our activities pertaining to Identrac microchip users, we may collect different types of personal information, such as:
  • Information such as the name and surname of the owner of the microchipped animal, their address, their phone number and their email address;
  • Information regarding the microchipped animal, such as its breed, its color, its name, information pertaining to its state of health, its geolocation, its identification number, the name and phone number of the person to contact.


5. INTERNET USERS – COOKIES, INTERNET PROTOCOL ADDRESS (IP ADDRESS) AND BROWSING INFORMATION

5.1 Cookies – on top of personal information, we use collection tools such as cookies on some of our Website pages to analyze the browsing data on our Website. Cookies are information that a website sends on the hard drive of an Internet user when they visit a webpage. Cookies allow the website to retain important information that will ease your visit on the website. We use cookies to improve your subsequent visits. If you do not wish to receive cookies or if you would like to configure your browser so it will warn you anytime a cookie is sent, or if you wish to deactivate all cookies, use the section Manage my cookie files and/or your browser options. 5.2 Cookies can cease to exist at the end of a browsing session (a browsing session lasts from the moment the Internet user opens their browser until the moment they close their browser) or they can be preserved for a longer period, even indefinitely.

5.3 Permanent cookies – these cookies are retained on the Internet user's hard drive and remain there after a session ends which allows for the backing up of the Internet user's preferences or their actions in-between different pages of a same website (or, in certain cases, in-between different websites). 5.5 Internet protocol address (IP address) – an internet protocol address (IP address) is linked to the Internet connection of your computer by your Internet access provider. Identrac can use this address to diagnose issues with its Web servers, to manage its Website, and to maintain contact with an Internet user as they visit our Website. The IP address of your Internet connection can also be used to provide you with information based on the location where you are browsing the Website. Identrac does not associate your IP address with your personal information.

5.6 Browsing information – this is used to measure the interest and the use of certain parts of our Website by Internet users as well as the efficiency of certain promotion programs ran by or on behalf of Identrac. This information cannot serve to identify you: rather, it consists of statistical data about the duration of the visit, the pages viewed, and the order in which the pages were visited. Identrac proceeds with the statistical analysis of this browsing information to establish Internet user profiles and to determine their behaviors and characteristics. Identrac might disclose this information to third parties; however, none of this information enables you to be identified nor can it be used to determine anything private about you.

6. PERSONAL INFORMATION USE

6.1 We use your personal information to facilitate the processing of the requests you submit to us. We took care to design a tailormade privacy Policy so we can properly inform you about our use of your personal information.

6.2 Identrac could directly contact you by email, by mail or by phone regarding the purposes described in this Policy, for instance to offer you certain of our new services or our current services.

6.3 Identrac could use your Personal information to the following legitimate purposes:
  • To provide you services;
  • To enable you to subscribe to our newsletter;
  • To exploit, maintain, supervise, develop, improve and offer all our Website features;
  • To manage risks and activities;
  • To respect our obligations under the laws and regulations in effect;

6.4 Identrac commits to not use any personal information whatsoever collected in compliance with this Policy or with any other law or regulation, for any other end unless your consent was previously obtained, with the exception of certain exceptional circumstances leading Identrac to believe, reasonably and in good faith, that the law requires it.


7. PERSONAL INFORMATION DISCLOSURE

7.1 Identrac does not sell, transfer nor cede any personal information to third parties. However, we might disclose personal information with our service providers, some of which being situated outside of Quebec but within Canada, or in Europe, our consultants or our subsidiaries for our internal business needs. Except for what is described in this Policy, Identrac will not disclose any personal information to third parties unless we received a request from the client, the client's consent was obtained for such disclosure or that such disclosure is necessary or authorised by law.

7.2 We are allowed to disclose your personal information to our agents, our subsidiaries or our service providers acting for or on behalf of Identrac within the framework of Identrac's business, or with any person in charge of processing data in accordance with the purposes they were collected for (such as our secure database maintenance). When we disclose your personal information with service providers, we enter written agreements with them before any of your personal information is disclosed to them, and we only provide personal information that is necessary to the fulfilment of their mandate. As part of these agreements entered into with our service providers, we commit to ensure that the principles stated in this Policy are respected, and these service providers are bound to use the personal information in accordance with our directives and solely for the purposes for which it was collected. Furthermore, these service providers offer sufficient guarantees relating to the implementation of proper safety measures that are proportionate to the level of sensitivity of the personal information processed or disclosed. When our service providers do not need your personal information anymore, we demand that they destroy the data appropriately.

7.3 The personal information you provide to Identrac is considered an asset of the business and can be disclosed or transferred to a third party in the context of a sale (proposed or concluded), a location, a fusion, or any other type of acquisition, sale, partial or complete financing of Identrac or any business asset, or any shares of Identrac or one of its sections, the whole having no affect on the products or services rendered to clients by the third party.

7.4 Although we put reasonable efforts into preserving the confidentiality of personal information, Identrac reserves the right to disclose personal information to a third party in certain specific circumstances, such as: to comply with demands made by public and governmental authorities, to comply with laws, regulations, a search warrant, a subpoena, judicial proceedings, a court order or otherwise required by law, for the fulfilment of our policies or contracts, for the recovery of a debt, to protect users browsing our Websites of any fraudulent or abusive use, in case of emergency when security is compromised, such as determined by Identrac or when otherwise necessary to establish, take or defend itself against any legal proceeding. Furthermore, from time to time, the usage reports of our servers can be examined for safety reasons; for instance, to detect any unauthorized activity on our Website. In such a case, the data stored on the servers, including IP addresses, would be disclosed to authorities so they can identify the users linked to the unauthorized activities investigated.


8. YOUR RIGHTS

As a data subject, you can exercise the rights listed below by completing the form available at https://identrac.ca/contact and by submitting it to our PO by secure email or by mail, using the contact details provided in section 13 of this Policy:
  • You have the right to have access to the Personal information we have about you and to request a hardcopy of the documents containing your Personal information, subject to exceptions under the law applicable;
  • You have the right to demand that the Personal information we have about you be corrected, modified and updated if it is incomplete, ambiguous, expired or incorrect;
  • You have the right to withdraw or modify your consent pertaining to Identrac collecting, using, disclosing or retaining your Personal information at any time, subject to the legal and contractual restrictions applicable;
  • You have the right to demand that we cease distributing your Personal information and that we reset any link tied to your name through which this information can be accessed, if such distribution contravenes the law or a court order; and
  • You have the right to file a complaint addressed to the Commission d'accès à l'information, subject to conditions prescribed by the law applicable.


You might be asked to provide an appropriate identification document or to identify yourself in another way before we can follow up on your demand.


9. LINKS TO EXTERNAL WEBSITES BELONGING TO THIRD PARTIES

Please note that our Website can contain links redirecting you to other websites unaffiliated with Identrac. Identrac does not have any control over these websites or their practices pertaining to confidentiality, which can be different from our own practices. This Policy cannot apply and will not apply to external websites. We do not take responsibility for, nor do we represent, third parties' websites. The personal information you choose to provide to third parties are not covered by this Policy. We encourage you to read the privacy policies of any corporation or website before submitting your personal information. Third parties can choose to disclose personal information they retain with Identrac; this disclosure is subject to said third party's privacy policy.


10. PERSONAL INFORMATION OF A SENSITIVE NATURE

As part of our activities, it is unlikely, but not impossible, that in certain circumstances we will need to collect Personal information that is considered to be of a sensitive nature, when said information is strictly necessary for our operations. In such cases, we will ensure to have your express consent to do so, as required by law.


11. LIMITATION OF LIABILITY

Identrac undertakes to take all the reasonable means to ensure a level of confidentiality and security of personal information that complies with the appropriate technological standards for its sector of activity.

Notwithstanding the foregoing, you declare that you understand and acknowledge that no computer system offers absolute security and that there will always be an element of risk involved when transmitting personal information over the public network that is the Internet.

You hereby agree that Identrac shall not be liable for any breach of confidentiality, hacking, viruses, loss, theft, any misuse or alteration of the personal information transmitted or stored on its systems or those of any third party. You also declare that you waive any claims in this regard, except in case of gross negligence or wilful misconduct on the part of Identrac. Accordingly, you accept to indemnify Identrac and its officers, directors, related persons and business partners from any and all liability for any damages of any kind, whether direct or indirect, incidental, special or consequential in connection with the use of your Personal information.


12. INDIVIDUALS UNDER THE AGE OF 14 YEARS OLD

We do not knowingly collect, nor do we use the Personal information of anyone under the age of 14 years old. If you are under the age of 14, you must not provide us with your Personal information without the consent of your parent or legal guardian. If you are a parent or legal guardian and that you become aware that your child has provided us with Personal information without consent, please contact us using the contact information provided in section 13 hereabove to request that we delete the child's personal information from our systems.

14. MODIFICATIONS TO OUR PRIVACY POLICY

This privacy Policy is effective from November 04, 2025. Identrac reserves the right to update this privacy Policy whenever it deems necessary to do so. Whenever Identrac makes changes to this privacy Policy, we will also modify the date of the "Last update", as found at the top of the privacy Policy. Identrac encourages you to read this privacy Policy periodically to stay informed about the ways it protects your information and to be advised of any change to the privacy Policy. Your use of the Website after the posting of an amended version of the privacy Policy constitutes your consent to be subject to these changes. This privacy Policy is integrated into all the Conditions governing the different websites and all programs and services used or managed for or on behalf of Identrac. Any change to this privacy Policy comes into effect immediately after being posted online by Identrac.


15. OUR WEBSITE'S TERMS OF USE

The conditions governing your use of this Website can be found at https://identrac.ca/politique/politique-confidentialite (the "Conditions") and contain important provisions disclaiming and excluding the liability of Identrac regarding your use of our Website. The Conditions also contain provisions determining the applicable law and the exclusive jurisdiction for the resolution of any disputes regarding your use of this Website. Each of these provisions applies to any disagreements or disputes that may arise in relation to this privacy Policy and the collection, use and disclosure of your personal information. These Conditions have the same force and effect than if they had been directly reproduced in this privacy Policy.
